QuickBooks Online Integration

Sync invoices, payments, refunds, fees, and expenses to QuickBooks Online for bookkeeping.

What This Integration Does

The QuickBooks Online integration keeps your bookkeeping up to date by pushing financial activity from TalleFlow into QuickBooks, including:

  • Invoices

  • Payments

  • Refunds

  • Fees

  • Expenses

This is a one-way sync: data flows from TalleFlow into QuickBooks Online. Changes made directly inside QuickBooks won't sync back into TalleFlow.


Connecting QuickBooks Online

  1. Open Business Settings

  2. Navigate to Connected Tools

  3. Find QuickBooks Online and click Connect

  4. Sign in to your QuickBooks Online account and authorize access


Mapping Wizard

After connecting your account, TalleFlow walks you through a mapping wizard. This is where you match your TalleFlow items, fees, and accounts to the corresponding accounts and categories in QuickBooks Online, so everything lands in the right place in your books.

We recommend completing the mapping wizard fully before turning on automatic sync, so your first synced transactions land correctly.


Automatic vs. Manual Sync

Once the mapping wizard is complete, you can choose how syncing happens going forward:

  • Automatic: new invoices, payments, refunds, fees, and expenses push to QuickBooks Online as they happen in TalleFlow

  • Manual: keep automatic sync off and trigger a sync yourself whenever you're ready

You can enable automatic sync at any time after finishing the mapping wizard — it isn't required to keep it on permanently if you'd rather control when transactions push over.


Best Practices

  • Complete the full mapping wizard before your first sync to avoid miscategorized transactions

  • Since this is a one-way push, make any corrections in TalleFlow rather than in QuickBooks so the two stay consistent

  • If you add new fee types or accounts in TalleFlow later, revisit the mapping wizard to map them before relying on automatic sync
